Olivun Privacy Policy

Olivun is a business assistant that lets authorized users retrieve information, prepare drafts, and carry out approved actions through supported interfaces, including the WhatsApp pilot.

Information we process

We may process:

• Account, organization, role, and WhatsApp-account linkage information.
• Messages, voice-note transcripts, quoted-message context, and message metadata.
• Commands, tool activity, drafts, confirmations, cancellations, provider outcomes, and delivery events.
• Technical, security, diagnostic, and audit records.

For voice notes, Olivun retrieves the media through Meta’s official WhatsApp Cloud API and submits it for transcription. Audio is processed for the command and is not intentionally retained in the command-processing path after transcription. The transcript and related audit history may be retained.

How we use information

We use this information to:

• Authenticate users and enforce organization and role permissions.
• Interpret and execute authorized requests.
• Return replies and delivery information.
• Preserve draft and reply context.
• Prevent duplicate actions and investigate failures.
• Protect Olivun, its users, and connected business systems.
• Meet legal and compliance obligations.

Service providers and connected systems

Information may be processed by providers needed to operate the service, including Meta’s WhatsApp Cloud API, transcription and language-model providers, hosting and database providers, and business systems a user or organization has connected. Olivun sends each provider only the information reasonably needed for the requested function.

We do not sell personal information.

Retention

We retain information for as long as reasonably necessary to operate and secure the service, maintain appropriate audit records, resolve disputes, and satisfy legal obligations. Retention may differ by data type and connected provider.

Security

We use access controls, organization and role checks, encrypted transport, production secret storage, action confirmations, idempotency controls, and operational monitoring. No system can guarantee absolute security.

Your choices and rights

Depending on applicable law, you may request access, correction, deletion, restriction, or a copy of eligible personal information. You may stop sending messages to the WhatsApp service at any time.
